Picture a Saturday at 6:40. Heat 14 is staging, two drivers have not signed, one transponder is reading as an unknown kart, and the booking page is still selling seats in a heat that is already full. Three screens, three vendors, one person doing the joining.
Go kart software is a stack of five jobs that look like one: selling heats online, checking people in, running the heat, timing it and getting paid. Some products are strongest at one of those jobs and thin on the others. Before you watch a single demo, decide which job hurts most, then ask every vendor the same questions. Here are the nine we would ask.
We sell go kart software ourselves. Question 4 shows our published prices, and the section after the nine questions says where we are not the right fit.
1. Which timing system does it read, and how?
"Integrates with timing" can mean a live feed from the loop, an import after the race, or a person typing lap times. Ask which timing hardware it reads, whether it reads it live, and what runs at the track to do that.
VenueChief reads MyLaps X2 through your X2 Server using the official MyLaps SDK. A small always-on Windows PC at the track, which we call VenueChief Edge, sends the passings to the cloud over an outbound connection, so you open no inbound ports. You need one Edge install for each X2 Server. Other timing systems (AMB, RFID, infrared, video) can be chosen in the track editor but run as manual timing today.
2. What happens when the internet drops in the middle of a heat?
This is the question a demo never answers unless you ask. Ask where lap data is held, what is lost, and whether staff can finish the heat by hand.
In our system, if the connection goes out, Edge holds the passings and sends them in order, without duplicates, once it is back. If a loop fails, staff can enter laps manually. Ask every vendor the same thing, and ask them to show it, not to describe it.
Bring your heat times and timing system and we will walk a heat from transponder to results.
3. How are heats created, and what happens to walk-ins and parties?
Look at how the schedule gets built. Does a person place every heat by hand? Can you preview a week before anything is written? Can a party or corporate group get its own heat that nothing else can enter?
Our heat templates carry duration, driver limit, price, days, interval, check-in cutoff and auto-cancel. Scheduling previews a week of heats and writes nothing until you accept. Heat types include standard, practice, qualifying, race, private, corporate and league. A private heat belongs to its booking and nobody else can be added, staff included.
4. What does it cost, and is the price on the page?
Some vendors publish no prices, and comparing them becomes a negotiation. Ask for the all-in monthly figure for your fleet, including timing, check-in, point of sale and support, and ask what is extra.
Ours is published. The karting package is priced by fleet size on top of the Platform plan ($579 a month, which includes the point of sale, kiosks, and your website):
| Fleet | Karting package | With Platform |
|---|---|---|
| Up to 8 karts | $899 | $1,478 |
| 9 to 15 karts | $1,459 | $2,038 |
| 16 to 30 karts | $1,999 | $2,578 |
| 31 to 50 karts | $2,599 | $3,178 |
The help desk and unified inbox are included in every band. Food and beverage ($259), a retail storefront ($209) and karting leagues and championships ($125) are separate. Annual prepay is 12 percent less. The pricing page has every line and the arithmetic.
5. How does it handle waivers for minors, at the start line and not just at booking?
Juniors race at most tracks. Ask how a guardian signs, whether they need an account, how age, height and weight limits are enforced, and what happens when a child shows up without a guardian.
We let you choose a guardian level for minors, from none to a signature plus the guardian present at check-in. A guardian can sign with no account. Kart classes carry age, height and weight limits or an eligibility profile, and the same check runs at the kiosk, in race control and at the staff start button, so a missing signature stops the right person at the right moment. A manager can override where you allow it, and the reason is recorded.
6. How good is the race control screen under pressure?
You will not see this in a brochure. Ask to run a mock heat: throw a flag, add a penalty, correct a lap, move a driver, swap a kart. Does every action leave a record? Can two marshals work at once?
Ours has seven flags, several operators at once, a conflict dialog if two people send clashing commands, penalties that cost time, laps, best lap, positions or points, and a full log of who did what. Results move from Live to Provisional, Official and Amended, and an amended penalty re-scores the heat and the series.
7. Does it run the fleet, or only the heats?
A kart that is charging or in the shop must not be placed in a heat. Ask whether the kart's state controls what the scheduler can use.
In VenueChief, karts have states such as Available, Charging, Turnaround and Maintenance, and only Available karts can be placed in a heat. Charge and cooldown times can be stored but heat scheduling does not use them yet.
8. Can it run leagues, parties and food without a second system?
Ask what is built in and what needs a partner. We run league series with scoring schemes, drop rounds, bonuses, tie-breaks, public standings and registration; league features are a $125 add-on. Parties and corporate events use packages and private heats, and a group can be scored as a competition across kart heats. Food and drink is the Food & Beverage add-on.
9. How do you get your data in, and out?
Every switch is painful, and the vendors know it. Ask what they import from your current system, how long a parallel run is allowed, and what you can export when you leave.
We import customers and future bookings, and you can run both systems for a while. Ask any vendor for the export in writing before you sign.
Where we are not the right fit
- You time with something other than MyLaps X2. We read X2 live. Other systems run as manual timing today. If your loops are something else and you will not change them, a vendor built around your hardware will serve you better.
- You need a sanctioned-racing feature set that we do not have. Our leagues cover standings, scoring and registration. Check the specific sanctioning rules you must meet.
- You want a card or wristband cashless system for a whole entertainment center. We do not integrate with arcade card systems.
- You are a single outdoor track with three karts and no website. The Platform plan may be more than you need. Our Booking plan at $279 handles online sales and waivers for up to eight bookable units, but not heat timing.
A short checklist to bring to every demo
- Show me a live lap from my timing hardware, not a recording.
- Pull the internet cable. What happens to the heat?
- Build next Saturday's heats from a template. Show me the preview.
- Sign a waiver as a parent for a ten-year-old, with no account.
- Block a child who is under the height limit.
- Add a time penalty and show the log.
- Show me the price for my fleet on a page I can keep.
- Export my customers.
