How we handle your information.

This policy explains what Race Sim Ventures LLC collects through the VenueChief platform, why, who it goes to and what you can do about it.

1 · Who is responsible

The entity behind this service.

The service described here is provided by Race Sim Ventures LLC, an Ohio limited liability company, doing business through the VenueChief platform. In this policy, "we", "us" and "our" mean Race Sim Ventures LLC.

2 · The part most policies skip

We hold information in two different capacities.

VenueChief is business software sold to venues. Most of the personal information in the system was put there by a venue about its own guests, and that distinction changes who decides what happens to it.

We act for the venue

Guest information belongs to the venue

When a guest books karts, signs a waiver or buys a gift card, that information belongs to the venue. The venue decides what is collected, who is messaged and how long it is kept. We process it on their instructions in order to run the software for them, and we do not use it for our own purposes.

If you are a guest and you want your information corrected or deleted, the venue is the right place to start. We will help them act on your request.

We act for ourselves

Customer and visitor information is ours to answer for

For our own customers and prospects, we decide what happens: the staff accounts at a venue, the billing relationship, demo requests submitted on this website, and support conversations with us. For that information, we are the responsible party and this policy is the whole story.

3 · What is collected

Information in the platform.

From venues and their staff

  • Account details: name, work email, phone number, role and permissions.
  • Venue details: business name, addresses, hours, attractions, pricing and tax settings.
  • Billing details: subscription, invoices and payment status. Card details are handled by our payment processor and do not reach our systems.
  • Support and usage records: messages to us, and logs of actions taken in the software.

From guests, entered by or on behalf of a venue

  • Identity and contact: name, email address, telephone number, and postal address where a venue collects one.
  • Bookings and orders: what was booked, when, for how many, what was paid and what was refunded.
  • Waivers and consents: the signed waiver, the version signed, and for a minor the guardian who signed and the details they provided, which can include date of birth or height where the venue's safety rules require it.
  • Balances: gift cards, account credit, prepaid passes and memberships.
  • Activity records: lap times, results, achievements and visit history, at venues that run timed activities.
  • Communications: emails, text messages and chat conversations between the venue and the guest, and voicemail with its transcription where the venue uses our voice feature.

From visitors to this website

  • What you send us: the demo request form on this site opens your own email application, so anything you submit reaches us as an ordinary email.
  • Server and security logs kept in the ordinary course of running a website.
4 · Text messages and phone calls

Telephone numbers, SMS and consent.

VenueChief sends text messages and handles phone calls on behalf of venues. This section explains exactly how that works, because it is the part people most need to be able to check.

We do not sell your information, and we never share mobile information or SMS consent for anyone else's marketing. No mobile information or telephone number collected through the VenueChief platform is sold, rented or shared with third parties or affiliates for their own marketing or promotional purposes. Text messaging opt-in data and consent records are never shared with any third party for marketing purposes, and are used only to deliver the messages the venue is permitted to send.

How a phone number gets into the system

A guest gives their number to a venue: when booking online, at a kiosk, at the counter, on a waiver, or by texting the venue. Venue staff can also enter it. We do not buy phone number lists and we do not append numbers from outside sources.

How consent works

  • Text messaging is off until someone turns it on. In our data model every SMS category is disabled by default. A guest record receives no text messages until consent has been recorded for it.
  • Consent is recorded per category. Booking confirmations, reminders, results, receipts and marketing are separate permissions, so agreeing to a booking reminder is not agreement to marketing.
  • Consent is per venue. Consent given to one venue applies to that venue only. It does not transfer to another venue that uses VenueChief, and it does not create any relationship with us.
  • Marketing email is also off by default and is a separate permission from the operational emails a booking generates.

Stopping messages

  • Reply STOP to any text message. The opt-out is recorded immediately, before the message is treated as anything else, and no further messages are sent to that number for that venue.
  • Reply START to opt back in.
  • Reply HELP for help. It reaches the venue's support queue as a normal message.
  • Every marketing email carries an unsubscribe link, and opt-outs are honored across channels rather than per message.
  • Message frequency depends on the venue and on what you booked. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.

Calls and voicemail

Where a venue uses our voice feature, calls to the venue's number are routed by us, voicemail is transcribed so staff can read it, and the caller's number is matched to their guest record so whoever answers can see their bookings. Call handling records are kept for the venue, on the same terms as the rest of their data.

5 · Use

What the information is used for.

  • Running the service. Taking bookings, checking waivers, processing payments, starting sessions, recording results and producing the venue's reports.
  • Communicating on the venue's behalf. Confirmations, reminders, receipts, results and, where consent exists, the venue's marketing.
  • Support and operations. Answering questions, diagnosing faults, keeping the platform available and secure, and preventing abuse.
  • Billing our customers and keeping the records a business is required to keep.
  • Our own marketing, to businesses only, using the contact details of venues and people who asked us about the product. Never using a venue's guest list.
What we do not do with it. We do not sell personal information. We do not rent or trade it. We do not use one venue's guest data to market to those guests, to market to another venue, or to build a product we sell to somebody else. We do not claim ownership of a venue's guest data, and a venue can export it and leave with it.
6 · Sharing

Who else sees it.

The venue

Guest information is visible to the venue whose guest you are, and to the staff that venue gives access to. That is the point of the software.

Service providers who help us run the platform

These providers act on our instructions, may use the information only to provide their service to us, and may not use it for their own marketing:

  • Microsoft Azure hosts the platform and stores its data.
  • Stripe processes card payments, online and on card readers at the counter.
  • Messaging and telephony carriers, including Twilio, deliver text messages, emails and calls. They receive the phone number or address and the message in order to deliver it, and nothing more.

Legal and business transfers

We may disclose information where the law requires it, to enforce our agreements, or to protect the rights and safety of people or of the service. If the business were sold or merged, information could transfer as part of that transaction, and it would remain subject to a policy no less protective than this one.

To restate the one that matters most: mobile telephone numbers and SMS consent information are not sold, and are not shared with any third party for that third party's own marketing or promotional purposes. Carriers and messaging providers receive them only to deliver the message you agreed to receive.
7 · Specific areas

Payments, minors, security and retention.

Payments

Card details never reach us

Card payments run through Stripe, including card readers in the venue. Card numbers are captured by Stripe and are not stored on or transmitted through our systems. We keep the result of a payment: amount, status, and the last four digits and card brand where Stripe returns them.

Minors

Children's information comes from a guardian

VenueChief is not directed at children and children do not hold accounts with us. Where a venue's activity involves a minor, a parent or guardian provides the details and signs the waiver, and the record sits under the guardian's account. A guardian can ask the venue to remove it.

Security

What we do, and what we do not claim

Data is encrypted in transit, each venue's data is separated from every other venue's, access is limited by role, and card data is kept out of our systems entirely. We hold no SOC 2 or ISO 27001 certification, and we would rather say so than imply one.

Retention

Kept while it is needed

Guest information is kept while the venue needs it and for as long as the venue's own retention decisions require, since the data is theirs. We keep our own business records, such as invoices, for as long as the law requires. Opt-out records are kept indefinitely, because forgetting them would mean messaging someone who asked us not to.

8 · Your choices

What you can ask for.

  • Stop messages. STOP by text, the unsubscribe link in any email, or the communication preferences in your guest account, where the venue offers one.
  • See, correct or delete your information. If you are a guest, ask the venue, since the data is theirs and they can act on it directly. If you are a customer of ours, ask us.
  • Take your data with you. Venues can export their data themselves, at any time, without asking us.
  • Opt out of a sale of your information. There is nothing to opt out of. We do not sell personal information and we do not share it for cross-context behavioral advertising.

Depending on where you live you may have additional rights over your personal information. Write to us at sales@venuechief.com and say what you want, and if the information belongs to a venue we will tell you who to ask and help them answer.

9 · Housekeeping

Where the service runs, and changes to this policy.

The platform is operated from the United States and information is stored there. If you use it from another country, you are sending your information to the United States.

If this policy changes we will update the date at the top of the page and, where the change is significant, tell our customers directly. Continued use of the service after a change means the updated policy applies.
