Saturday, 2 p.m. A party of ten is due at 2:15. Four have signed. Three have not opened the link. Three are in the parking lot, looking for a pen that does not exist.
The cost of that is not paperwork. It is the time a bay or a heat sits idle while the desk chases signatures. Digital waiver software for entertainment venues should make that moment boring. What is new: one workspace for compliance and safety
The Compliance and Safety workspace has three tabs: Waivers, Safety Videos and Eligibility.
- Waivers. The list shows each waiver’s effective and expiration dates and how many signatures it has. Open a signature to see who signed, their legal name and the drawn signature. You can require a signed waiver and turn on periodic re-signing.
- Safety videos. Add the link to your video. Each published video gets a version number, with one active at a time. Tick Publish as a new version (require re-watch) when the content changed, to ask guests to watch again. An attendance view shows who has watched.
- Eligibility profiles. Set minimum and maximum age, height and weight, whether a driver’s license is required and whether an adult must supervise. Decide whether the waiver and video are inherited, always required or never required, then link the profile to a kart class, a simulator, a resource type or a single resource. Where a venue asks for weight at booking, staff can verify it at the venue.

Sign before arrival, and then once more at the door
A guest can sign on the kiosk, from a link or QR code on their phone or from the booking confirmation. Where you turn it on, staff can record a paper waiver at the desk, and venues that use the Developer API add-on can put a signing widget on their own website. The booking confirmation carries a signing link the organizer can share. With per-participant links switched on, every participant in a party gets their own link, and a minor’s link goes to a guardian. This is how guests sign before arrival and the room is ready when they walk in.
Then the check happens again. The kiosk launch, race control’s heat start and the staff Start button all use the same rule. It asks whether the waiver is signed, the safety briefing video is watched, the equipment is fitted, the eligibility profile is met and any minor requirement is complete. If something is missing, the screen names the person and the step. A manager can override where your venue allows it, and the reason is recorded.
Age and height requirements that follow the activity
A kart class can carry a height rule. A rig can require a license. A resource can ask for adult supervision. You set age and height requirements once on the eligibility profile and attach it where it applies. Your manufacturer’s guidance and local rules decide the numbers, and VenueChief enforces what you enter.
You also set what you ask for at booking: date of birth, height, weight and supervision can be hidden, optional, required for minors or required. If a field is blank at booking, you decide whether that blocks the booking, waits for check-in or sends a reminder.
Who it suits
Karting tracks, sim racing centers, axe throwing, trampoline and adventure venues, and any place where a guest signs before an activity. Words you will recognize: waiver, release, briefing, height requirement, check-in, start gate.
What it changes on a busy day
- A party arrives with most paperwork already done.
- The heat does not start while one driver’s briefing is incomplete, and the desk knows who.
- The height rule is set once on the profile and checked at check-in, so the desk is not making it up on the spot.
Availability and fine print

VenueChief records signatures, names and dates. It does not give legal advice and does not promise a waiver will hold up in any court. Videos have versions; waivers have effective and expiration dates but no version number. Driver’s license is a requirement on a profile, not an automatic license check. Photos of IDs are not stored.
