A mother books heats for her two children. On the day, she brings a nephew too. The nephew’s father is parking the car. The ten-year-old wants to race, the desk is busy, and somebody has to decide who signs what.
Venues handle this every day. VenueChief turns the decision into a policy you set once, so digital waivers for minors follow the same rules at every check-in, whoever is on the desk, with overrides only where you allow them.
What is new: a guardian ladder you control
You choose how much guardian involvement each minor needs:
- No guardian step.
- A guardian signature.
- A linked guardian account.
- A linked account plus the guardian present at check-in.
- A signature plus the guardian present at check-in, with no permanent account link.
The last option is for venues that want a record that staff confirmed a guardian is in the building, without asking parents to create an account. You also set the age of majority, where the waiver is collected (at booking, at check-in, at the front desk or anywhere) and who is allowed to override the rule.

Guardian consent that does not need an account
A parent or guardian waiver can be signed with no account at all. The guardian confirms that they are an adult and the child’s parent or legal guardian, and the waiver records their name and relationship. VenueChief creates a name-only profile for the child at signing. It is never emailed or matched to an existing account.
Parents who do have an account can use My Family. Add each child once, and later bookings are prefilled.
At check-in: see what is still owed
A waiver for minors at check-in shows what each person in the party still owes. At the desk, staff have simple actions on the readiness row: Guardian claim link, Guardian is here, Confirm supervision and ID checked. For ID, the desk can mark that a check was done. VenueChief keeps the status, not a picture of the ID.
The same rules apply at the kiosk. If a junior karting waiver needs a guardian, the kiosk asks for one before the waiver is accepted. The karting article covers how age, height and weight rules are enforced at the same moment.
Keeping children’s names off public screens
On any shared surface, such as a TV, a public page, the Platform API, a rig overlay or an in-game name, a guest known to be a minor appears under a racer name. If none is set, they appear as Junior Racer with a number. A guest with no date of birth on file is treated as an adult.
What a parent sees
A parent books heats for two children and is asked once for each child’s details. If they have an account, the children are on file under My Family and the next booking is prefilled. If they do not, they sign from the link in the confirmation, confirm that they are an adult and the child’s parent or legal guardian, and the digital waiver for minors is done. Where the venue has turned on paper waivers, staff can record one at the desk, and staff can email a guardian a link when the guardian is not there. On arrival, the check-in already knows what is complete and what is not.
Who it suits
Karting tracks and sim racing centers with junior classes, entertainment centers with birthday parties, and any venue where a child might arrive with someone who is not their parent.
What it changes on a busy day
- The desk does not decide the rule on the spot. The rule is already set, and overrides happen only where you allow them.
- A parent can sign from the parking lot, and the desk sees it before they walk in.
- When a child’s date of birth is on file, their real name does not end up on the lobby TV.
