Guests do not care which channel they used. They care that someone answers. VenueChief’s unified inbox for venues puts email, texts, WhatsApp, voicemail and website forms in one shared inbox, tied to the guest’s contact record.
A unified inbox for venues, and what it replaces
A guest emails about a party. Two days later they text the number on your door. On Saturday they leave a voicemail. Three people each have a piece of the story, and nobody has all of it.
A unified inbox for venues puts every one of those in one inbox, on one guest record. VenueChief’s Help Desk does that: help desk for venues, built around guests rather than software tickets. Think of it as a shared inbox for your whole team that already ties every conversation to the guest’s contact record.
The inbox started with tickets, teams and web forms, and it has added channels and controls one at a time since.
What is new: one ticket per conversation
Messages arrive from email, text, WhatsApp, voicemail and the forms on your website, and each becomes a ticket on the guest’s contact record. At the top of the screen you will find New ticket, Dashboards, Knowledge base and Setup. Setup holds Channels, Web forms, Teams, Routing rules, Canned replies, Reply-time targets, Satisfaction surveys and Data and privacy.
- Teams. Create Sales, Support or any team you like, with a default owner and automatic acknowledgements. A team can be members-only, so other staff do not see it at all.
- Routing rules. An ordered list sends tickets by channel, the address a message was sent to, keywords, venue and type, before anyone is notified.
- Canned replies. Type a shortcut such as /hours and the reply fills in.
- Response time targets. Set targets by priority, with optional business hours. The inbox flags tickets that are due soon, and a monitor raises an alert when a target is missed.
- Satisfaction survey. If you switch surveys on, the guest can get a one-tap survey link when a ticket is resolved.
Book a demo and we will follow an email, a text and a voicemail from the same guest.
Web forms that arrive as tickets
Under Setup, Web forms builds a form with the fields you need, the team it goes to and a priority. Put it on your site with the Support Form module, or file submissions from a page built in your website builder. The visitor sees a ticket number as confirmation, and your team sees the guest count and date as fields, not as a paragraph to decode.
WhatsApp and texts, with the rules
WhatsApp allows free replies within 24 hours of the guest’s last message. After that the message will only send if a pre-approved WhatsApp template is configured for your account. Without one, the reply is refused. You connect your own email, Twilio and WhatsApp accounts through a guided setup.
Draft with AI, reviewed by a person
On a ticket, Draft with AI writes a suggested reply from your knowledge base and canned replies, with its confidence and the sources it used. It is never sent for you. A person edits it and sends it, which is how you keep the voice and the facts your own.
One guest, one week, one inbox
Monday, a guest emails about a party. A ticket is created, acknowledged automatically and routed to Sales by a rule. Wednesday, they text the venue’s number, and the reply goes out from the same screen. Saturday, they leave a voicemail. It arrives as a ticket for the team that was called, with the recording. Because texts and calls from one number share a thread, the agent sees the text before taking the call, and all three tickets sit on the same guest record. If you have switched on satisfaction surveys, the guest gets a one-tap survey link when it is resolved.
Who it suits
Any venue where messages arrive in more than one place: sim racing centers with a shared mailbox and a text number, karting tracks with party inquiries, escape rooms and entertainment centers with a sales team and a support team. If a guest has ever said “I emailed you”, this is for you.
What it changes on a busy day
- Nobody asks “did anyone reply to this?” because the ticket says.
- A party inquiry reaches Sales, not the general inbox.
- A missed voicemail becomes a ticket with the recording, not a mystery.
Availability and fine print
Help Desk is an add-on. Voicemail tickets also need the Voice add-on. See pricing for what your plan includes.
Reply from the app is for email, text and WhatsApp. There is no website chat widget and no public help center. Texting guests in the United States requires carrier registration for your venue, and texts are not ready to rely on until that is confirmed with you. Each of your own provider accounts is set up under your name. Knowledge base articles feed the AI drafts and are not shown to guests.
