Email marketing for family entertainment centers starts with your own data

Quiet Tuesday. Plenty of guests came three times last year and then stopped, and others have a birthday next month. Some of them are on a spreadsheet, some are in the booking system, and none of them has heard from you.

Email marketing for family entertainment centers works when the list knows what guests actually did. VenueChief’s Communications area now has Audiences and Campaigns that use the same guest record as your bookings, shop and memberships.

What is new: audiences from what guests did

Build audience segments with filters across about two dozen facts: spend, last visit, number of bookings, no-shows, membership status, engagement, league registrations, birthday month, whether a waiver is on file and whether the guest can be reached by marketing. Seven starters are ready to use, including Lapsed regulars, Win-back 90, Big spenders and Members expiring soon.

Where AI is enabled for your site, you can describe an audience in plain words. VenueChief shows you the filters it becomes before you save. The AI proposes the filter, and fixed rules check it. It never chooses who receives a message. You can export an audience as CSV.

The campaign builder, with guardrails on

A campaign has three steps: audience, content and review. Content starts from one of four templates, with merge fields for the guest’s name and your venue. Before you can launch, VenueChief checks that:

  • you sent yourself a test,
  • the message has an unsubscribe link and your postal address,
  • the audience is not empty,
  • you have a verified sender address, and
  • you have allowance left on your plan.

By default, sends happen in venue-local waking hours. A large audience gets a small first wave, then a pause, and a campaign pauses itself if bounces or complaints spike. You can test two subject lines on part of a large list and send the winner to the rest.

A frequency cap protects guests from over-mailing, across all campaigns at once.

A win-back campaign and the other standing ones

A win-back campaign is a good first one to build: lapsed regulars, a warm note, a reason to come back. Three standing messages can run on their own once they are set up: birthday emails, win-back and a welcome for new guests. The birthday one goes to whoever has a birthday each day.

Marketing email is off by default for a guest, and VenueChief only reaches guests who said yes. Every email carries an unsubscribe link and a one-click header, and a guest who unsubscribes is excluded straight away. A text reply of STOP opts a guest out of marketing texts.

The campaign page then shows revenue from orders placed after a click and from promo codes tied to the campaign, net of refunds.

Your first campaign, in five steps

  1. Verify your sender address the first time, by adding the DNS records we show you at your domain host and pressing Validate.
  2. Start from a starter audience such as Lapsed regulars, and watch the count.
  3. Choose a template, such as Win-back, and edit the message.
  4. Send yourself a test and check it on your phone.
  5. Pick a date and time inside the sending window, and after the send, watch the orders that came from it.

That is a first campaign, built from your own guest data. Allow extra time the first time, because DNS changes can take a while to spread.

Who it suits

Karting tracks reaching lapsed league racers, sim racing centers inviting people back for a new season, entertainment centers promoting party packages, and any venue with a guest list and a birthday calendar. If you want to email lapsed guests rather than all guests, this is the tool.

Text campaigns are off until your venue’s carrier registration is recorded. Launch stays blocked until the sender shows as verified. Revenue credit covers orders placed through the basket checkout, and text campaigns are credited through promo codes only. There is no visual email designer, no list-growth reporting and no sync to other email tools.

Can I send text message campaigns?

Not today. Text campaigns stay off until your venue’s carrier registration is recorded, and that step is handled with our team outside the product. Email campaigns do not need it.

Do I need a drag-and-drop email designer?

There is no visual designer today. The message builder takes HTML with merge fields and starts you from four templates: Announcement, Promotion, Win-back and Birthday.

Will guests get a message every week?

Not more than the cap allows. A frequency cap limits one guest to two marketing emails and one marketing text in any seven days, counted across all campaigns together.
