Friday night has a party of twenty, two karting heats and a corporate group on the rigs. Who is on, who is qualified to host the party, and who has to leave by 9 p.m. because they are seventeen? Some venues answer these with a group text and a whiteboard.

What is new: people, access and qualifications

Each person has one record with their jobs, qualifications and PIN. VenueChief has roles at operator, technician, manager and owner levels, plus job roles such as Buyer, Scheduler, Server and Bartender, so staff roles and permissions follow the work. The person on the front desk is not the person who closes the day.

Qualifications carry an expiry, so a first-aid certificate warns you thirty days before it lapses. Role and pay changes can be dated to take effect later.

Separation in one action. When someone leaves, you see a preview of the staff access that will end, including roles, door codes, help desk and voice access, delegations, alerts, the schedule and the POS PIN, and then end it all at once with a receipt.

Shift scheduling that knows what is booked

The schedule is a week grid with an on-call lane. Drag to create a shift, copy last week, and publish when you are ready: people whose shifts changed are told. When a shift goes to someone whose qualification is missing or about to lapse, the schedule warns you. Staff see their own shifts on a phone page, and the person on call has their own card.

With the Workforce add-on, Suggest from bookings drafts shifts from what is already booked, using the staffing needs you set on packages, activities and heats.

Time clock, timesheets and tips

The Workforce add-on adds the rest of the week:

  • A time clock screen where staff tap their name and enter a PIN, plus a phone clock that you can switch off or limit to your venue’s networks.
  • Breaks, and manager entries that need a reason.
  • Timesheets that show only exceptions, with approve-and-lock.
  • Overtime, break and minor-hour alerts that you can switch on to help you track hours.
  • Labor cost shown beside the revenue from the same hours.
  • Tip pools and commission rules.
  • A payroll export of hours, tips and commission.
  • Open shifts, swaps, time off and availability.

Wages are visible only to people who have wage access.

A Friday schedule, in practice

On Wednesday the manager opens the schedule and presses Suggest from bookings. With staffing needs set on your packages and heats, the draft covers Friday’s party and the heats. They adjust a shift, fill the on-call lane and publish, and the people whose shifts changed are told by email or text. On Friday a part-timer taps their name and PIN on the time clock. On Saturday the timesheet shows only the exceptions. The manager approves and locks the period, and the export carries hours, tips and commission to payroll. Manager entries need a reason, breaks are recorded and approved timesheets are locked. Tip pools and commission rules sit beside the hours, and labor cost is shown against the revenue from the same hours, so the Monday question “was Saturday worth the shifts?” has an answer.

Availability and fine print

Separation ends staff access. It does not delete the person’s login. The payroll export is a file, not payroll, and overtime is flagged rather than calculated as pay. Alerts help you track hours; they are not a promise of labor-law compliance. Each venue counts its own hours. Time clock boards refresh about once a minute.

Does VenueChief run payroll?

No. It exports hours, tips and commission as a CSV for your payroll provider. Overtime is flagged, not paid.

Can staff clock in from their phones?

Yes. Staff can clock in from their own phone, and you can limit that to your venue network or turn it off. They can also use the time clock screen with a name and a PIN.

Is pay visible to every manager?

No. Pay is hidden unless the person has wage access.
