Resource booking software that is not built for one kind of venue

A golf simulator lounge sells bays by the hour. A batting cage sells a cage and sometimes a pitching machine. An axe throwing venue sells lanes, a trampoline park sells party rooms, and a karting track sells a party room along with the heats. They all ask the same question: how do I let people book the thing, and charge the right amount, without calling anyone?

VenueChief answers it with resource booking software that does not care what the resource is. You define it, price it and mark it active. Guests see it on the same booking page as everything else. It is the activity booking software that sits next to your sim racing and karting rather than in a separate tab.

What is new: define any bookable thing

A resource type is the thing guests recognize: Golf Bay, Batting Cage, Party Room, Court. A unit is one of them: Bay 3, the Red Room. Types carry a name, an icon and the settings shared by every unit. Units carry their own guest limits and amenities, and a unit can be marked temporarily unavailable with a reason and a date, so it disappears from the booking page until it is fixed.

Set a price per hour, per session or per person. Then add the packages guests actually buy, including party packages:

  • A base price, with peak and off-peak versions and a member price.
  • Included guests, then a charge for each extra guest.
  • Days and dates when the package applies.
  • Components that bundle sim time, a resource, heats, food and drink or an add-on, each with its own start time inside the visit.

How an online booking system should feel to a guest

The guest picks a category and a type, says how many people are coming, chooses a unit, a length, a date and a time, then adds contact details and signs what needs signing. Only units that take the party size are shown. While they pay, the slot is held for them, for an hour by default, so they do not lose it at the last step. You can block dates or whole weekdays for events and maintenance. Guests can view their booking and cancel it under your cancellation policy.

Mixed baskets are where an online booking system earns its keep. A guest can book heats and a party room together and pay once. Each activity reserves its own booking, and the cart makes one charge and one order. The cart is also where a promo code, a gift card or a membership offer is applied. Deposits are a venue setting: one percentage the guest can pay instead of the full amount, for bookings and packages, never for goods.

What you set up once

Start with the resource type and its units. Add the price, then the package, then mark the units active. Most of the work happens at the start: name the thing guests will recognize, set the shared settings and mark which units are active. After that, resource booking software mostly gets out of the way. Staff book the same resources from the booking editor when a guest phones or walks in, and a package can carry several parts at once, so a birthday is one entry and not a pile of notes. Add a gift card, a membership offer or a promo code at the cart and the discount shows before the guest pays.

Who it suits

Golf simulator lounges and indoor golf (bays), baseball and softball facilities (cages and tunnels), axe throwing (lanes), escape rooms (rooms), pickleball and other court sports (courts), and every venue with a party room. Whatever you call it, if you rent it by the hour or by the party, it is a resource.

What it changes on a busy day

  • A party package is one choice, not five bookings and a phone call.
  • Staff stop re-entering what the guest already typed.
  • Changing a price is a setting, not a new web page.

Availability and fine print

Resource booking is included from the Booking plan upward. The Booking plan covers up to eight bookable units. See pricing.

Online lengths are fixed at 1, 1.5, 2, 3 and 4 hours today. Guests cannot reschedule themselves; they cancel and book again. Optional add-ons inside a package are chosen by staff in the booking editor, not by the guest. Open play and general admission, where many guests share a capacity, are not available today.

Is this a separate product from sim racing and karting booking?

No. Sim sessions and karting heats have their own steps because they work differently. Bays, lanes, courts and rooms all run through resources, on the same booking page, cart and checkout.

Can guests choose how long they book?

Yes. For bays, lanes and rooms, online lengths are 1, 1.5, 2, 3 or 4 hours today.

Do guests pay in full when they book?

Guests pay at checkout. A venue can also let them choose a deposit, and the balance shows as due at arrival.
