Friday, 5:40 p.m. Kart 14 has a soft brake pedal, and the person who noticed it has gone home. Kart 14 goes out in the 6 p.m. heat anyway because nobody wrote it down.

Every operator has a version of this story, and it is not about carelessness. A kart fleet, a row of rigs, a track and a building generate more small jobs than anyone can hold in their head. We built maintenance into VenueChief so that a job is a record, not a memory. It is preventive maintenance software for karts and simulators that also covers the rest of the building.

What is new: a repair board your technicians can see

The Maintenance screen has a Board, a Calendar, a List and tabs for Assets, Parts and Schedules. At the top, tiles show what is overdue, uptime, cost for the period and what is low on stock.

  • Assets. Simulators, karts, tracks, bookable resources, facilities and equipment. A bay, a cage, a party room or a projector is as welcome as a go-kart.
  • Work orders. Raise one, move it across the board and close it. These work orders for karts and simulators are tied to the asset they are about, so a repair is more than a note on a whiteboard.
  • Parts. Keep a parts catalog with a reorder point. Add a part to a work order and the stock draws down. When the count reaches the reorder point, a low-stock alert appears for staff who are signed in.

Preventive maintenance schedule: jobs that open themselves

Reactive repair is easy to see. Service that nobody remembers is the expensive kind. A preventive maintenance schedule names the asset, the job, how many days between services and when the next one is due. Press Generate now to open one by hand.

An hourly job opens any work order that has come due. If a job sits overdue, VenueChief raises its priority on its own: from Normal to High after 48 hours, then from High to Critical a day later. A brake job that nobody has touched does not stay quiet.

Karts, rigs and the building

For karting, put a kart in Maintenance and it stops being assignable to heats. Only karts marked Available can be placed in a heat, so a kart waiting for pads does not end up on the grid. A pre-race safety checklist can be set per track and per layout.

For sim racing, a rig has a service schedule like anything else, and the content sync skips a rig that is in maintenance.

For golf bays, batting cages and party rooms, the same board tracks netting, mats, screens and lights. This is equipment maintenance tracking without a separate system, and it sits next to the bookings that depend on it.

One repair, start to finish

Back to kart 14 and its soft brake pedal. Someone raises a work order against the kart and puts it in Maintenance, so the next heat does not use it. A technician opens the job on the board and adds a set of brake pads from the parts list. The pads are drawn down in stock, and you are warned if the count falls to its reorder point. The card moves across the board as the work progresses, and when the kart is ready you set it back to Available.

Over the month, the Board, Calendar and List views show what is open, what is overdue and what it cost. The tiles at the top turn overdue jobs, uptime, cost for the period and low stock into numbers you can check at a glance.

Who it suits

Karting tracks with a fleet that wears out on a schedule, sim racing centers with a technician who also does everything else, and multi-activity venues where “who is fixing the thing” is a daily question.

What it changes on a busy day

  • A defect raised at 5:40 p.m. is on the board for everyone with access at once.
  • A monthly rig service opens itself instead of waiting for someone to remember.
  • A part that is running low raises an alert as it is used, so reordering is not a surprise.

Schedules run on an interval in days. Meter-based schedules and checklists inside work orders are not available today. The parts catalog here is separate from purchasing, so receiving a purchase order does not top up maintenance parts. The purchase orders article explains where that stands.

Can a schedule run by hours or laps instead of days?

No. Schedules run on an interval in days. Meter-based schedules are not available today.

Does it work for golf bays and batting cages, not just karts?

Yes. Bookable resources, facilities and equipment can be assets too, so a cage net or a launch monitor can have its own schedule and work orders.
